No more walk-ins services for DIRCO Apostille office

The Legalisation Section of the Department of International Relations and Cooperation has issued a notice stating that, with effect from 1 September, it will no longer accept walk-ins for apostille and legalisation services at the OR Tambo building in Pretoria.

Applicants who wish to obtain a DIRCO apostille for South African documents must secure an appointment online via the DIRCO legalisation booking portal before visiting the office. This follows the official launch of an online booking system a year ago, which enables applicants to schedule a date and time to submit documents for legalisation.

Hague Apostille by Global Apostille is a top-rated apostille agency in Pretoria. We are registered agent with (DIRCO). We offer fast and affordable apostille services for clients in Johannesburg, Pretoria, Durban and Cape Town.

This No more walk-ins services news has caused quite a stir, so let’s unpack what this means, why it’s happening, and how you can navigate the new system smoothly.

Why Walk-Ins Were Discontinued

The short answer: demand outgrew the system.

Switching to an appointment-only system isn’t just about bureaucracy—it’s about improving service efficiency and reducing long wait times. Over the months, walk-ins have led to overcrowding and unpredictable queues, which made it difficult for DIRCO staff to manage daily workflows effectively.

By requiring online bookings through the DIRCO Legalisation Bookings Portal, the department aims to:

  • Streamline the flow of applicants and reduce overcrowding
  • Ensure applicants receive dedicated time slots, minimizing waiting
  • Enhance overall service quality and speed
  • Implement better health and safety protocols, especially important in post-pandemic times

It’s a move towards a more organised and user-friendly system, even if it means a little extra planning ahead for applicants.

Tips for Navigating the Appointment-Only System

Don’t let the new rules catch you off guard. Here are some handy tips to make your experience as smooth as possible:

Check the portal  08:30am precisely. This is when the Legalisation Section most frequently refreshes appointment slots. Set a reminder.

Apply 4–6 weeks before. There are only 80 public booking slots available daily. These slots routinely fill up weeks ahead of time.

Cancel if needed: If you cannot make it, cancel your slot immediately on the system so it can be reallocated to someone else

Don’t pay for “guaranteed” slots: The Legalisation Section of the Department has explicitly warned against touts and unauthorized agents selling appointment dates. These services are not affiliated with the Legalisation Section or DIRCO, and payments to them are non-recoverable.

Have your documents ready before you book. Once you get a slot, the clock starts. Your documents need to be complete, formatted correctly, and ready for submission.

Document Submission Requirements

When you do get your appointment, remember the department has strict document submission rules. To ensure your documents are accepted for apostille or legalisation:

  • Submit original documents only:  Certified copies, photocopies, or scans of Home Affairs or police documents are strictly rejected.
  • Pre-verify academic papers: Qualification certificates must be pre-verified by SAQA or Umalusi before DIRCO will accept them
  • Zero lamination: Laminated documents are not accepted by DIRCO because plastic covers hide security features and prevent official stamps or updates. If a document is laminated, it will be rejected on the spot.
  • Check the 6-month window: Police Clearance Certificates (PCC) and Letters of No Impediment must be less than six months old from the date of issue

Alternative Legalisation Solutions

If visiting the OR Tambo building in person feels inconvenient or you want to save time, consider these alternatives:

  • Courier Service: DIRCO accepts document submissions via courier, allowing you to send your paperwork without physically attending the centre. This option is particularly useful for those living far from Pretoria and ready to wait for 6 weeks.
  • Authorised Agents: DIRCO has introduced a Registered Agent Programme specifically for legalisation agencies. These registered agents bypass the public booking queues by working on DIRCO-approved weekly rotation schedules. This system provides a valuable option for individuals struggling to secure appointments or needing expedited service, particularly those in Cape Town requiring urgent Apostille document processing. This is a great option if you’re pressed for time or abroad.
